They're turbocharging their operations with Microsoft 365 Copilot and Microsoft Azure, and the results are nothing short of remarkable.

UK Power Networks, responsible for delivering electricity to a staggering 8.5 million homes and businesses across South-East England, East England, and London, embarked on their AI transformation journey in 2023. This bold move culminated in the rollout of 1,000 Microsoft 365 Copilot licenses in December 2024, and the impact has been profound.

The Numbers Speak Volumes

Since implementing Copilot, UK Power Networks has witnessed an astounding 96% adoption rate across its workforce. But the real kicker? A staggering 480% return on investment (ROI). That's a testament to the power of smart technology and strategic implementation.

"We've been able to unlock new levels of efficiency and creativity," states Martin Knoebel, Head of Digital Solutions and Analytics at UK Power Networks. He explains that Copilot has freed up employees from tedious administrative tasks, allowing them to focus on more strategic and impactful work. This shift has not only boosted productivity but also ignited creativity within the company.

For example, teams are leveraging Copilot within SharePoint to generate high-quality, visually engaging reports filled with valuable insights and accurately formatted data. Others have developed email monitoring systems to streamline workflows and AI agents to make it easier to search for buried documents. This has empowered employees to find historical information more efficiently.

"Copilot has been a win-win for us," Knoebel emphasizes. The benefits extend beyond mere time savings and quality improvements; there's a tangible increase in employee satisfaction and engagement.

The Path to Success: A Strategic Approach

But this success wasn't an overnight phenomenon. It was the result of meticulous planning and execution.

Knoebel started by envisioning how AI could transform the company, which employs 6,500 people and manages a network spanning nearly 120,000 miles (189,000 km) of cable. He believed that generative AI assistants, like Microsoft 365 Copilot, could enhance not only customer service but also performance across the entire organization, including network maintenance and enhancement.

With the green light from CEO Basil Scarsella and the Executive Management Team, a trial of the GenAI assistant was initiated.

Igniting Interest and Driving Adoption

UK Power Networks established a Copilot Task Force to generate excitement and educate employees about Copilot's capabilities. In January 2024, they launched a two-phased approach, beginning with 300 Microsoft 365 Copilot licenses before scaling up to 1,000 by the end of the pilot in December 2024.

The team conducted nearly 40 deep-dive interviews to understand how Copilot could best serve each team, from Communications to Legal, Complaints to Network Operations. This led to the identification of nearly 50 different use cases.

For instance, the Procurement team used Copilot for contract reviews, drafting supplier communication emails, and generating spending trend reports. Meanwhile, the Customer Service team leveraged Copilot to enhance their communications and prioritize outstanding complaints.

The Task Force also conducted workshops for over 950 colleagues, and 12 Copilot Champions provided guidance and encouragement. This support continues today with daily tips, lunch-and-learn sessions, competitions, and company-wide Copilot celebration days.

Knoebel attributes the high adoption rate to this tailored training, which enabled each team to adapt its processes and ways of working. Keeping training group sizes to 20-30 people also helped to make the training more targeted.

As one employee put it, the tailored training "really helped us understand how to use the tools effectively. It has transformed the way we work."

Beyond Copilot: A Holistic Approach

UK Power Networks' success isn't solely reliant on Microsoft 365 Copilot. Azure OpenAI Service, Azure Logic App, and Power Automate have been instrumental in fulfilling the company's AI vision. This vision is centered around enabling the UK's Net Zero transition at the lowest cost to customers, providing top-tier customer service, and ensuring employee productivity and safety.

The company migrated its aggregated smart metering data to Microsoft Azure in 2023 for in-depth analysis and insights. This data and alerts enable UK Power Networks to monitor its electricity network with unprecedented precision, allowing them to identify and address issues before customers are even aware of them. This minimizes disruptions by rerouting power around faults or repairing them faster.

Furthermore, smart meter data, combined with the scalability of Microsoft Azure and an Azure-hosted AI model, helps UK Power Networks manage and reinforce the electricity network more effectively in areas with electric vehicles or heat pumps.

Generative AI, hosted in Azure OpenAI Service, is also used to manage the flow of incoming emails, enabling customer service specialists to offer better service and respond to safety alerts more quickly.

Knoebel notes that nearly all of UK Power Networks' workload is now hosted on Microsoft Azure. This cloud infrastructure empowers the company to develop innovative applications, providing reliability, insight, and control.

"A better-managed network is cheaper to run, more efficient, and leads to happier customers," Knoebel explains. It also supports the company's goal of building an electricity network that facilitates the UK's Net Zero transition.
